VCSWG Partners with United Way to Offer 55+ Initiative to our Volunteers

Volunteer Community Services of Woodward and Granger is excited to announce our new partnership with United Way to provide an amazing benefit for our volunteers.

One of the benefits of becoming a member of the 55+ Initiative is that we provide mileage reimbursement. If you would like your mileage reimbursed for the miles you drive for transporting clients, please complete the appropriate section on the form. Reimbursement checks are processed and mailed the third week in the month following each calendar quarter. *Reimbursement is fluid, and ranges from $0.35-$0.45 based on how many miles volunteers report that quarter.

This program is for volunteers age 55 and older.

Step 2. Fill out the “Volunteer Hours and Mileage Tracking Form” online

Step 3. Select “YES, I am a Member of the 55+ Initiative” for each trip you record.

The coordinator at VCSWG will be maintaining a group timesheet. The coordinator will then mail the timesheet to the United Way each Quarter for reimbursement.

VCSWG is Excited to Announce Partnership with Hotrods & Hogs

We are pleased to announce a partnership with the Assumption Knights of Columbus Hotrods & Hogs event.   The 5th annual car and motorcycle show will be held on Saturday August, 4th at 10:00am to 2:00pm. 

The leadership for the Hotrods a& Hogs event has announced that VCSWG will be the beneficiary of this years fundraiser.  During the event, cars and motorcycles from all over Iowa come to show their vehicles.  During the show, the Knights serve a freshly smoked pork, homemade baked beans, sweet corn and coleslaw.  Unlike many car shows, the event happens in Centennial Park along highway 141, a beautiful venue for cars and a Hog Roast.

VCSWG Gets a Confident Start

Volunteer community Services of Woodward and Granger (VCSWG) is excited to become the newest non-profit organization in Granger and Woodward.  With all the paperwork completed we can move ahead to fulfill our mission; serve the communities of Woodward and Granger to provide services without charge to individuals in need of assistance to remain in their homes.

We are active in transporting clients  to  medical appointments, picking up prescriptions,  wellness home checks, weekly beauty shop appointments, senior citizen social events,  and shopping trips to Wal-Mart.  We currently have: 15 volunteers and serving 13 clients.

This core of volunteers has logged 804 miles, have made 28 trips and have volunteered 190.25 hours.

We also have durable medical equipment available for loan and personal assistance.

Board Minutes – January 2018

Board Meeting Minutes,         Date of –Wednesday January 10th, 2018

Call to order10:00 a.m.

In Attendance : Pastor Bill, Gregg, Karen, Gary, Nancy, Shannon.  Guest Todd Jones (Pastor of Stonebridge Church- Granger).    Pastor suggested we all introduce ourselves to Todd, so we did.

Opening prayer:  Pastor Bill

Approval of prior meetings minutes:  No changes to minutes –  Gregg 1st ,  Nancy 2nd,  all voted aye.

Treasurer’s report:  Gregg – $389.28 balance,   Gregg also reported talking to Barb Chambers and asking her if she would consider becoming our new treasurer – Gregg indicated she would, she will attend a future meeting to make it official.   Nancy 1st to accept report,  Gregg 2nd – all voted aye.

Gary raised question that his printer was running out of ink (he uses it for both personal and VGSG business) – it was asked about the percentages of how the printer was used,  he indicated at this time around 1/3 VCSG and 2/3 personal  — some board members indicated they had some ink that might work,  Gary will send info to board to see if they would be useable,  other wise they agreed to a purchase of new toner – exact specifics will follow on results of what toner is used, several options appear to be available.

Board Positions: Pastor Bill presented an idea to elect Karen as our new VCSG President to replace him,  to take effect immediately following a board vote.  Karen agreed to accept if elected – Gregg made 1st motion,  Nancy 2nd  —  all voted aye.    Karen elected – Bill will remain a board member.              We all look forward to Karens term and are very appreciative of Pastors untold hours of service (in ways we have no idea) in getting the program off and running  — this will be a GREAT service and benefit to the community in the years to come.   Had Bill & Gregg not kept pushing, this would have never happened – the community, as well as us Board members,  owes you both a BIG  “thank you”!!.

New business:  Pastor brought up a situation from “Jersey Mikes Subways” to go to their website and nominate Gregg — if it works out we could be awarded a rather large donation/award.  – under subabove on their website.           Gregg also informed us that we had made our “FIRST” loan out of durable medical equipment to a community member !!!!!!           Also for Gary to contact Tom Letch in Grimes regarding some new computer forms,  he will.

End of Meeting::   Meeting temporarily adjourned at 10:30 to conduct the Meet & Greet meeting with our VCSG volunteers.  Meeting reconvened at 11:45 for a debriefing meeting led by Karen to sum up “meet & greet”.     Meeting officially adjourned at 12:00.

New officersBill – wants to check bylaws in regard to changes/ procedures.

Old businessGregg will be contacting Lane Shaver in Madrid regarding possible printing and advertising materials for us.

New businessRecruting volunteers/board-committee members ??  At next meeting we will have a “meet & greet” event for our current volunteers.   Gregg & Nancy will plan.   Also discussion about getting the names from the prayer chain to contact about individuals using our services.  Also Gary sending out emails to board members at end of month to get volunteer hours.    Also we need to get/find a backup for Shannon and all that he does in case of troubles.

Treasurer’s report:  Gregg – no changes, full report to be given next month

Brochure & Poster ideasGary – success reported on granger days parade, talked about Nancys posters and the high quality of them (will have them next month for all to see).  Gary will take folded brochures to City Hall, Meth. Church, Alices Beauty shop, and Ericksons.  Gary will get one of Nancys posters to Shannon to see about getting 11×16, 9×11 posters made to put in local businesses.  He also mentioned about the possible reorganization of the brochure info. — discussion tabled until next meeting to have Nancy present.

Logging timeBill – discussion about the “need” for all to keep track of hours, mileage, and dates of their VCSG work.       It was suggested to have Gary send out a reminder email to board members at the end of the month stating their information was due and due by the 5th of the following month  and if not received he will follow up.  A motion was made by Karen and 2nd’d by Gregg to put this policy in force,  all voted aye.

Committee Job DescriptionsBill  — still working on – discussion tabled for the present.

Old businessLanyards were passed out to board members.  Bill requested from Gary a list of volunteers, he will email to him.        Other old business was handled in above headings.

New businessIt was suggested that we need to contact our volunteers in a face to face event,  if for nothing else but keeping them informed of where we are and that we up and running – and waiting for clients.  After discussion, it was decided to work on putting together a “Meet & Greet” (maybe a morning coffee-donut kind of thing) with the board and volunteers present – lanyards & name tags will be handed out at that time as well.    During this discussion Karen brought up that we need to look into our policies about $ being spent and the amount before board approval is needed –Bill will check into our policies.

Approval of prior meetings minutes:  No changes to minutes –  Gregg 1st ,  Shannon  2nd, all present voted aye,                  Also there was a motion from Gregg to approve and include the treasurer’s report to the minutes of the June meeting, 2nd by Gary – vote was unanimous in favor.

Treasurer’s report:  Jim – $741.90 balance.  A $50 donation was received from City of Granger.  Gregg paid the 1st installment of insurance premium.  Motion to accept the financial report Gary 1st, Jim 2nd – all voted in favor.

Media – Trifold PamphletShannon presented a sample pamphlet to the board.   The board was very pleased,  some minor changes such as phone #’s, spellings, etc. – Motion to accept the pamphlet with changes – Jim 1st, Gregg 2nd –  all present voted in favor.   Shannon will also work on some larger advertising signs.

Committee Job DescriptionTabled until next meeting.

Old BusinessRemaining name tags passed out.  Bill reported that the lanyards are ready to be ordered and he will.  Gary will email info about getting the Handicapped parking tags to Bill.

New businessBill reminded board members to be keeping track of hours.   Also the board needs to do their bios.   He also emphasized the importance in answering emails from other board members – communication, communication, communication !!!

Treasurer Jim Doyle tendered his resignation as treasure, it was accepted by the board – President Bill wanted Jim to be sure and know how vital a role he played in this program and its beginnings –  Jim you will always be one of the “Founding Fathers” !  The board will be actively seeking a replacement.

Advertising –  we will have an entry in the Granger days parade (Nancy & Gary)- August 25-26

It was decided at present to have applications-(need to replace old with current revised editions) (both client & volunteer) available at the Methodist Church office,  Ericksons Ins. Agency, and the City Hall office.

Volunteer Name TagsBill passed out to present board members name tags (they are nice!)   discussion about Lanyards – Motion by Karen, 2nd by Shannon, it was agreed by unanimous vote to order 100 thru Bills supplier, he will get a couple of color options to see what looks best (green yellow gold combos)

MediaGary questioned about security for computer, Bill provided a portable harddrive for VCSG use – Shannon will do security for computer after this meeting, he will also backup the computer files to the harddrive provided by Bill and we keep the harddrive at the Church.

**Board members need to get bios to Shannon to put on website.

Committeesneed to get job/committee descriptions done for the committees (see minutes of March 28, 2017)  — Bill, Gregg, & Anne will work on.  They could be placed around town for visibility and exposure.

Old Business:  55+ should be on website, Shannon will work with Gregg about this.

New businessDiscussion about a “kick off” / volunteer recognition event.  Ideas about connecting with another community event, such as 141 sale-granger days (both in August).  Bill will contact church members to see if ok.   We also talked about getting some posters/tri folds done to hand out,  Shannon will put together and email to us to look over.
